How to use this roster

You only fill in dropdowns, so the layout and totals can’t be broken. Each person runs their own copy.

1. Set up a new site (first time)

Open Manage (top-right) and work top to bottom — the order matters:

1. Roles — add roles, click a swatch for a colour.
2. Contract types — fixed: Full Time (FT), Part Time (PT), Casual (CS).
3. Employees — add each person and pick their Type & Role.
4. Shift patterns — type Start & Finish in 24-hr (e.g. 1000 / 2000, no colon needed). Worked hours auto-calculate (breaks deducted over 4h / 10h).
5. Leave / other codes — e.g. OFF, AL, SICK.
6. Titles & labels — rename the site and anything else on the page.

Rename the roster any time by clicking its name in the top-left.

2. Build the week

• Pick the week (snaps to Mon–Sun). Choose the Employee — Type/Role auto-fill.
• Left-click a day cell to assign a shift; right-click for leave / other codes (your 3 most-used pinned at the top).
• Hover a cell and click the × (top-left) to clear it. Add a note from either menu — it shows a badge & amber outline, and can be deleted the same way.
• Total hrs auto-calculate and turn red (OT) over 40h. Over 7 days in a row prompts a confirmation.

Save a base roster: once your roles, types, employees and shifts are set and you’ve built a typical week, click Save as base roster (under the week box). Each new week you can then Load base roster to start instantly instead of rebuilding.

3. Save your work

Every change auto-saves in your browser. For a safe backup, click Save the File to write a .json (keep it in OneDrive). Re-open it with Open. The Save button turns orange when you have unsaved file changes. In Manage → On open you can auto-load your file each time.

4. Share it

• Print → choose Roster (staff view) for a clean copy (no type/totals). For colour, tick “Background graphics” in the print dialog.
• Email — copies the roster table to your clipboard and opens your email; click in the body, paste (Ctrl+V), Send.

5. Multiple sites

Use the dropdown by the title to switch, + Site to add (Copy or Fresh). Delete a site via Manage → Titles (password protected).
